Video Submission Instructions

General Instructions

Every submission must include a Conditions for Publication form signed by all authors and all of following items in an editable format (Word file, email, etc.):

  • Title
  • Authors—List a maximum of  six authors in the order they should appear including for each: first name, family name, and institutional affiliation (department is optional).
  • Corresponding Author—Provide the name, e-mail address and telephone number of the author to whom communications should be directed.
  • Announcement Text—A brief, 300-character or less (including spaces and punctuation) description of the video to be used for an announcement on the CTSNet Home Page. The title is NOT acceptable announcement text—the title should not be part of the announcement text.
  • Video Description—A more lengthy description of the video to appear on the video page. It can be an abstract, or a more lengthy description and may include images (please include captions for images). The title should not be part of the video description text.
  • Subject/Classification Terms—One or more terms from the CTSNet Content Subject Classification list that identify the primary subject category of the video.
  • Disclosure—Include disclosure information if it is applicable.

Your material must contain no specific patient information and must be HIPPA compliant. For example, patient name or hospital identification numbers should not appear on radiographs, slides, or film contained in a video.

If you are not the copyright holder of a portion of the video (artist illustrations, images from books, photos, cartoons, music, etc.), you must obtain permission to publish the item(s) from the copyright holder. A form for that purpose is available. Likewise, if any part (artist illustrations, images from books, cartoons, etc.) of your video was previously published you must obtain written permission from the publisher for republication. Submit copies of permissions with your submission.

Do not include music in your video unless you are submitting the video accompanied by written permission from the publisher allowing us to republish the music on the internet.

The signed Conditions for Publication form, permission letters and other supplemental material must accompany the video. Videos will not be considered for publication until all of the required information and documents have been received. The video and documents can be submitted via email (submission@ctsnet.org) with the documents as attachments and using a download service such as Dropbox for the video file. Alternatively, you can send the video and related documents to:

NOTE: UPS, FedEx, and DHL will not deliver to a P.O. Box. If you need to send your submission via UPS, FedEx, or DHL please send an email to submission@ctsnet.org to make other arrangements.

Videos

CTSNet can accept video submissions in a variety of different formats. Both 4:3 and 16:9 (widescreen) aspect ratios are acceptable. The videos must be good quality and their size should be at least 640 by 480 (768 by 432 for widescreen.) Please do not submit a 4:3 format video as widescreen.

  • Videos submitted to CTSNet should not be longer than 10 minutes, and must be accompanied by voice narration.
  • Video is not an appropriate format for slideshows without embedded video content. Video should be used for content such as surgical procedures.
  • Videos in 4:3 format should not be submitted as widescreen.
  • Avoid using italicized text as it does not resize as well as standard text.

Acceptable Formats

  • MOV (Apple QuickTime Movie)—Preferred format
  • MPEG (MPEG Video File)—Preferred format
  • MP4/M4V (iTunes Video File)—Preferred format
  • DVD video format (DVD-R only, not DVD-RW)
  • AVI (Audio Video Interleave File)

Not Accepted

  • Flash Video (.flv) - No longer accepting FLV files effective September 2012
  • Windows Media Video (WMV file) - No longer accepting WMV files effective September 2010
  • RealVideo format
  • VHS or Mini-DV tape

Once received, your video will be converted into multiple formats and sizes for presentation on CTSNet and viewing on different browsers and devices.
